Desk and Asset Status Colors in Floor Plan View: A Quick Guide
When viewing desks and assets on a floor plan, different colors are used to represent various statuses, such as availability, occupancy, or department assignment. Understanding what each color means helps users quickly interpret the layout and make informed decisions when booking or managing workspaces.
This article outlines the possible color schemes and what each one signifies in the floor plan view.
There are two different color schemes for web browsers or mobile app view:

Today’s floor plan – shows real-time desk and asset status, including check-ins and upcoming reservations.

A future date – shows reservation status without reflecting real-time activity like check-ins.
Desk and Asset Color Indicators for Today’s Floor Plan View
When viewing the floor plan for the ongoing day, desks and assets are color-coded to reflect their current status. Here's what each color means:
🟩 Green - The desk or asset is available for booking
🟥 Red - The desk or asset is occupied / checked in. If check-in is disabled (under Desks → General settings or Parking & Assets → General settings), the item turns red at the start time of the reservation
🟧 Orange - Upcoming or unchecked reservation
- The desk or asset has an upcoming reservation, within the window defined in "Upcoming reservation indicator" (e.g., 4 hours)
- The desk or asset is reserved but not yet checked in
⬜Gray - Desk or asset is unavailable or restricted and cannot be booked because:
- The desk or asset is disabled for booking
- Blocked by department rules
- The desk or asset is assigned to a specific user
Desk and Asset Color Indicators for Future Date Floor Plan Views
When viewing the floor plan for a future date, the desk or asset colors reflect planned reservations only—not real-time activity such as check-ins or presence. The color codes are as follows:
🟩 Green - The desk or asset is available for booking.
🟧 Orange - The desk or asset is reserved on the selected date
⬜Gray - Desk or asset is unavailable and cannot be booked because:
- The desk or asset is disabled for booking
- Blocked by department rules
- The desk or asset is assigned to a specific user
Desk and Asset Color Indicators for Shareable Floor Plan View
The Shareable Floor Plan provides a simplified public view of availability on an external display and it focuses on booking status for the current day and upcoming hours
Here's what the colors indicate:
🟩 Green - The desk or asset is currently available
🟥 Red - The desk or asset is currently occupied
🟧 Orange - The desk or asset has an upcoming reservation (depends on what the "Upcoming reservation indicator" is set to)
