Joan AI for Microsoft Teams

Joan AI is now available as a Microsoft Teams app, allowing users to access Joan's workplace management features without leaving Teams.

With Joan AI, you can:

  • Book meeting rooms directly from Microsoft Teams.
  • Reserve desks for yourself or your team.
  • Find available workspaces.
  • Ask questions about Joan features and receive instant guidance.
  • Get help with common workplace management tasks, such as:
    • How to book a room from a Joan device.
    • How to register a visitor in the Joan Visitor Management system.
    • How to use various Joan features and workflows.

The chatbot combines workplace actions with product knowledge, making it easier to manage your office and quickly find answers without switching between applications.

 

Prerequisites

Before installing the Microsoft Teams app, make sure Joan AI has been enabled for your organization.

  1. Sign in to your MyJoan account.
  2. Navigate to Settings → Labs.
  3. Enable Joan AI.

Note: If Joan AI is not enabled in Labs, the Microsoft Teams chatbot will not be available.

Enable Microsoft Teams Integration

After enabling Joan AI:

  1. Open Settings → Integrations → Chat Bots.
  2. Select Microsoft Teams.
  3. Follow the prompts to authorize the integration for your organization.

Install Joan AI in Microsoft Teams

Once the integration has been enabled in MyJoan:

  1. Open Microsoft Teams.
  2. Go to Apps.
  3. Search for Joan AI.
  4. Select Joan AI from the results.
  5. Click Add (or Add to Teams).
  6. Follow the Microsoft Teams prompts to complete the installation.

Alternatively, you can install Joan AI directly from the Microsoft Teams Marketplace using the official listing.

Getting Started

After installation:

  1. Open the Joan AI app in Microsoft Teams.
  2. Sign in if prompted.
  3. Start chatting with Joan AI.

You can immediately begin using workplace management features or ask questions about Joan.

 

What You Can Do with Joan AI

Book Meeting Rooms

Reserve an available meeting room directly from Microsoft Teams without opening the MyJoan portal.

Example:

  • "Book a room for tomorrow at 2 PM."
  • "Find an available meeting room for the next hour."

 

Reserve Desks

Book an available desk for yourself in just a few messages.

Example:

  • "Book me a desk for Friday."
  • "Find a desk near the marketing team."

 

Ask Joan Product Questions

Joan AI can answer questions about Joan products and features.

Examples:

  • How do I book a room from a Joan device?
  • How do I register a visitor?
  • How do I connect my Microsoft 365 calendar?
  • How do I add a new device?
  • How do I configure room booking?
  • How do I manage desks?
  • How do I update my device?

 

Tips

  • Use natural language—there is no need to memorize commands.
  • Joan AI understands conversational requests, making it quick and easy to complete everyday workplace tasks.
  • As Joan AI continues to evolve, additional capabilities and workflows will become available.
