Joan Trial Subscription Guide
This article covers the most common questions customers have during their trial period. It explains how the trial works, what is included, how licenses behave, and what to expect once the trial ends.
1. What plan is assigned during the trial?
Every new account created on my.getjoan.com starts on the Team plan with monthly billing. This plan includes 2 device licenses and 20 user licenses. The first 30 days are free, and after the trial ends the plan activates automatically unless you modify or cancel it beforehand.
You can learn more about our plans on the Pricing page.
2. What counts toward user licenses?
User licenses represent how many people are actively using Joan to book rooms, desks, or assets.
An active user is anyone who logs in through the web portal or the Joan mobile app.
You can add more users to your account than your license limit, but only the number of licensed users will be allowed to actively use the system.
A user license becomes free again when a user has been inactive for 60 consecutive days (they haven't logged in or used the system). It will then be assigned automatically to the next user who logs in.
3. What counts toward device licenses?
Device licenses represent how many devices you plan to connect and use.
A device refers to any display connected to your Joan account. This can include Joan schedulers, tablets, visitor management tablets, TVs, or digital signage screens used to clearly show bookings, schedules, and workplace information throughout your organization.
4. Can I change the number of licenses at any time?
Yes. You can increase or decrease your user or device licenses whenever needed.
For example:
-
If you plan to add more Joan tablets, increase your device license count.
-
If your user base grows, increase your user license count.
You can make these changes in Settings > Plans and billing inside your MyJoan account.
5. Where can I check the plan and license count I will be billed for?
When logged in as an admin, go to: Settings > Plans and billing
This page shows your current plan, license counts, and the amount that will be billed once the trial ends.
6. What if I use directory integration and only want a portion of my user base licensed?
This is supported. With SCIM provisioning, your directory may sync more users than you have licenses for. That is not a problem as long as the number of active users does not exceed the number of available licenses.
If more users become active than you have licenses for, you will need to purchase additional licenses.
7. How should I plan for the future if I know I will add more devices?
If you know you will use more devices later, you can increase your device license count at any time during the trial or after you acquire the additional devices.
Increasing the license count only affects the cost that will apply after the trial converts into a paid subscription. Nothing is charged during the free trial period.
These changes can be done here.
8. What access do I get during the trial?
During the trial you have full access to all Joan features. There are no restrictions.
9. How many users can I have during the trial?
Since the trial begins with the Team plan, you can have 20 active users.
You may add more users to your directory, but only the first 20 who log in will become active. The rest will require additional user licenses, otherwise, they will not be able to use the system.
10. Will I receive a reminder before my trial expires?
Yes. We send an email reminder before the trial ends so you have time to decide how you want to continue. This prevents unexpected charges.
11. What payment options do you support?
You can complete your subscription using any of the following:
-
Credit card or debit card
-
Invoice (available only for yearly subscriptions)
