How to cancel a meeting on a Joan 6 device

If you would like to cancel the current or scheduled meeting but do not have time to do it in your company’s calendar, you can simply approach your Joan 6 device and cancel it directly on it.

With the Real-time booking” functionality on your Joan 6, you can directly cancel the current or the upcoming meeting, or enter the timetable and cancel any of the future meetings.

Cancel the current meeting

If there is a meeting taking place, you can cancel it on your Joan 6 by following these steps:

  1. Ensure you have “Cancel meetings” enabled in the Joan Portal
  2. Take the Joan 6 device that is connected to the resource where the meeting is happening
  3. The current status of the resource will be displayed in the top-right section of Joan 6’s interface. If the status says “Booked” there will be an “X” button on the far right. Press it
  4. Once pressed, you will be prompted to confirm or deny the cancellation. If neither of the options is selected within 10 seconds, Joan will auto-confirm your action and cancel the current meeting

Cancel the upcoming meeting

Was there a change of plans and the next meeting will not happen? You can cancel it on your Joan 6 by following these steps:

  1. Ensure you have “Cancel meetings” enabled in the Joan Portal
  2. Take the Joan 6 device that is connected to the resource where the meeting is happening
  3. The upcoming meeting information will be displayed in the bottom-right section of Joan 6’s interface. An “X” button will be present on the far right. If you wish to cancel the meeting, press it
  4. Once pressed, you will be prompted to confirm or deny the cancellation. If neither of the options is selected within 10 seconds, Joan will auto-confirm your action and cancel the upcoming meeting

Cancel a future meeting

Are there multiple meetings happening on the same day and you wish to cancel the 4th or 5th one or wish to cancel the meeting happening tomorrow? No problem! 

You can do so by following these steps:

  1. Ensure you have “Cancel meetings” enabled in the Joan Portal
  2. Take the Joan 6 device that is connected to the resource where the meeting is happening
  3. Press the “TIMETABLE” button in the bottom-left of your Joan 6’s interface
  4. Here, you will see a list of all upcoming meetings each day, with the ability to navigate to the desired date with the up and down arrows on the far right side of the interface
  5. Once you found the meeting you wish to cancel, press the “X” on the right of the meeting’s subject and organizer
  6. Once pressed, you will be prompted to confirm or deny the cancellation. If neither of the options is selected within 10 seconds, Joan will auto-confirm your action and cancel the current meeting

How to enable/disable the “Cancel meetings” feature

The “Cancel meetings” feature can be enabled/disabled in your Joan Portal.

Here are the steps on how to do it:

  1. Log in to the Joan Portal with your account credentials
  2. Navigate to the “Settings” page via the top navigation menu
  3. Select “Device Settings” from the left-hand side menu
  4. Locate the “Cancel meetings” in the list of features and open the drop-down menu. You will have three options:
    1. On” - Allows you to cancel any meeting from your company’s schedule on your Joan 6
    2. Off” - Disables the option to cancel meetings on the Joan 6 device
    3. Only on the spot” - Allows you to cancel only the meetings that were created/scheduled only on the Joan 6 device with the Meet now” and “Meet later features. Cancelling any other meeting on your company’s calendar will not be possible
  5. Once you have selected the desired state, navigate to the bottom of the page and click “Save” to save your device settings preferences

And that’s it! You have successfully turned on/off the “Cancel meetings” feature.
