How to customize a room resource

With the “Room customization” feature, you are able to personalize and provide more information about each room resource connected to your Joan Portal account.

If you have not yet added any rooms to your Joan Portal, click here to find instructions on how to do so.

The following information can be added to each room resource:

How to edit a room

  1. Log in to Joan Portal with your account credentials
  2. Navigate to the “Manage” page via the top navigation menu
  3. Select “Rooms” from the left-hand side menu
  4. Locate the room you wish to edit in the list and open it
  5. A pop-up window will appear. Enter the additional information about the room. All fields are optional aside from the “Room name” which is mandatory
  6. Once satisfied with the input, click “Update

Customizable room information

Room name

Create unique room names to help all your coworkers and office guests to locate the room resources easier.

By default, if you add a calendar room resource, the name of the resource will be used. But, if you create a room resource for a personal calendar, the email will be used as the room name.

The room name can include both alphanumeric and special characters and can be as long as 50 characters. 


If you have multiple buildings set in your Joan Portal, you can assign the room to any of the available buildings. 

Grouping rooms in a building allows you to set building-specific settings that will override any global account settings. To learn more about building-specific settings, click here.

Let your coworkers and guests know what is the capacity of the room.

This information will be displayed on the “Status board” functionality for Joan on Displays.


If your office space has multiple floors, let your coworkers and guests know on which floor to search for the room.

Do the floors in your office space have names? No problem! The field allows the entry of all alphanumeric characters.


Does the meeting room have a TV? What about a Projector? Provide information to your coworkers and guests on which amenities does the room have, so they can book the one that will meet their needs.

The following amenities can be selected:

  • TV
  • Computer
  • Video conference
  • Whiteboard
  • Phone
  • Projector
